A Simple Way to Track Job Performance

OTIFIS (OB): A Simple Way to Track Job Performance

In any operational business, whether it’s arboriculture, landscaping, construction or facilities management, one of the biggest challenges is understanding whether a job has truly been successful.

Many companies judge success simply by whether the work has been completed. But in reality, delivering a successful project involves much more than that.

At Beechwood Trees and Landscapes Ltd, we are always looking for ways to improve how we measure performance and deliver consistent results for our clients. One of the principles we have adopted internally is based on a framework used in manufacturing and logistics known as OTIF.

OTIFIS stands for:

On Time, In Full, In Spec.

It’s a simple but powerful way of evaluating whether a job has been delivered properly.

At Beechwood we’ve expanded this slightly by adding an additional measure:

OB – On Budget.

Together, these principles provide a clear framework for assessing job performance.

What Does OTIFIS (OB) Mean?

When reviewing a job, we ask four simple questions:

On Time

Did we complete the work when we said we would?

Delivering work on time is critical for clients, particularly in sectors such as local authorities, utilities and highways where projects are often tied to wider operational programmes.

Being on time demonstrates reliability and strong planning.

In Full

Did we complete everything that was agreed?

A job should not only be completed, it should be completed fully. This means delivering the full scope of works that was agreed with the client, without shortcuts or omissions.

In Spec

Did the work meet the required specification and professional standards?

For arboricultural and landscaping work this could include:

• correct pruning standards
• appropriate waste removal
• correct planting methods
• compliance with safety procedures

Meeting specification is essential to maintaining quality and protecting long-term tree health and landscape value.

On Budget

Did we deliver the work efficiently and within the planned cost?

A job that satisfies the client but loses money for the business cannot be considered successful in the long term.

Tracking whether work is delivered on budget helps businesses maintain sustainability while continuing to provide high quality services.

Why This Matters

The strength of the OTIFIS (OB) framework is its simplicity.

Rather than relying on opinion, it gives businesses a structured way to evaluate performance across projects.

If a job is:

On Time
In Full
In Spec
On Budget

then it has been delivered successfully.

If one of those elements is missing, it creates an opportunity to review processes and identify where improvements can be made.

OTIFIS (OB) as a Key Performance Indicator

Frameworks like OTIFIS (OB) also form an important part of Key Performance Indicators (KPIs).

KPIs are measurable values that help businesses track performance and make better decisions.

In operational businesses, common KPIs might include:

• safety performance
• contract margins
• client satisfaction
• workforce productivity
• project delivery metrics

OTIFIS (OB) is a practical KPI because it connects directly to day-to-day operations. It provides a simple way to track whether projects are being delivered efficiently and to the required standard.

When used consistently, it can help teams identify trends, improve planning and maintain accountability across projects.

Continuous Improvement

At Beechwood Trees and Landscapes Ltd we believe that delivering excellent service requires constant improvement.

By reviewing jobs against clear measures like OTIFIS (OB), we can learn from every project and ensure we continue delivering reliable, high-quality services for our clients.

It’s a simple principle, but one that helps keep teams focused on what really matters, delivering work safely, professionally and to the highest standards.
